Privacy Policy

Vet World (“we”, “us”) provides a veterinary clinic management platform for veterinary practices and a free space for pet owners. We believe in collecting as little personal data as possible. This policy explains what we collect, why, and the choices you have.

Who we are

Vet World is a software-as-a-service platform operated in Tunisia. We process personal data in line with Tunisian Organic Law n° 2004-63 of 27 July 2004 on the protection of personal data, and we apply the principles of the European Union’s General Data Protection Regulation (GDPR): collect the minimum, for a clear purpose, protect the data and respect your rights.

The personal data we collect

We deliberately keep this to a minimum. When you create an account, we collect only:

  • Full name — to identify you inside your clinic and on documents.
  • Email address — to sign you in, verify your account, reset your password and send account-related messages.
  • Phone number — to contact you about your account when needed.

That’s it. We do not collect government IDs, payment card numbers, location tracking, or behavioural advertising profiles. We only ask for what the platform genuinely needs to function.

Clinic data you enter

As you use Vet World, you add operational data such as clients, pets, consultations, inventory and suppliers. This content belongs to you. We process it solely to provide the service to you and your team, and we never sell it.

If you are a pet owner

Your pet-owner account is free. Clinics that registered you as a client with the same email address share with your account a recap of the records they hold about you: your animals, a recap of their consultations (date, type, reason, vet, weight, care performed, medicines with their dosage, amount paid and left to pay — never the price of each line), your appointments and the e-mails and SMS the clinic sent you. The diagnosis, internal notes, invoice details and documents stay at the clinic. Each clinic remains responsible for its own records.

  • When a clinic enters your email for a client, it can see that a Vet World pet-owner account uses it and may fill in your name and phone from it.
  • You can ask a clinic to correct a record (a “report an error” button is provided) or to stop sharing it with your account.
  • If you book online, the clinic receives your name, phone number and the details of your request.
  • Deleting your account removes your access; clinics keep their own records, as they are required to.

How we use your data

  • To create, secure and operate your account.
  • To authenticate you, verify your email and let you reset your password.
  • To contact you about your subscription, important changes or support requests.
  • To keep the service reliable and prevent abuse.

What we never do

  • We never sell or rent your personal data.
  • We don’t use your data for third-party advertising.
  • We don’t share your clinic data with other clinics.

Cookies and local storage

We use your browser’s local storage to keep you signed in (authentication tokens). With “Remember me” enabled these persist on your device; otherwise they’re cleared when you close the browser. We don’t use advertising or tracking cookies.

Images you upload

Photos you choose to upload (for clients, pets, consultations, inventory, suppliers, users or your clinic) are stored with our image hosting provider and referenced by URL from your account.

Artificial intelligence (AI)

Two features use AI: a consultation’s AI diagnosis and supplier invoice reading. Each goes through a specialised AI provider.

  • AI diagnosis — only clinical data is sent (species, breed, sex, age, weight, vital signs, type, reason and notes). Never the owner’s name, phone or e-mail, nor the animal’s name. The suggestion is visible to the clinic only — never to the owner, never on printed documents.
  • Invoice reading — the photo or PDF of the supplier invoice is sent to extract the supplier, products, quantities and prices. You check everything before saving.
  • Diagnosis provider — it processes diagnosis data under its terms and may use it to improve its services. That is why we never send names or contact details.
  • Invoice provider — its commercial terms exclude using invoices to train its models.

Our service providers

To run the service we use a few providers, each for one task: our server (hosting the application and database), our image hosting provider (uploaded images and documents), an e-mail sending service, an SMS sending service and two AI providers (the features above). We never sell your data.

Security

We protect your data with encryption in transit, password hashing, short-lived access tokens with rotating refresh tokens, and role-based access controls so staff only see what they’re permitted to. Each clinic’s data is kept separate, two-factor authentication is available and a full backup is made every night. The backup is encrypted and an encrypted copy is kept off the server.

Data retention

We keep your data for as long as your account is active. If you close your account, we delete or anonymise your personal data within a reasonable period, except where we must retain it to meet a legal obligation.

Your rights

You can access, correct or delete your personal data, ask us to stop processing it, and take it with you (portability: in Company → Data, the clinic owner downloads every list). To exercise any of these rights, contact us at hello@vetworld.app and we’ll respond promptly.

You can also contact a data protection authority: the INPDP in Tunisia, or your country’s authority in the European Union (in France, the CNIL).

Children

Vet World is a professional tool for veterinary clinics and is not directed at children.

Changes to this policy

We may update this policy as the platform evolves. When we make material changes, we’ll update the “last updated” date above and, where appropriate, notify you.
